Searching Lot Numbers

A search is performed first prior to adding or updating any items to the application.  When searching for lot numbers, the search criteria can be none, one, or a combination of the following: 

·                     Vaccine  (drop-down list)

·                     Manufacturer (drop-down list)

·                     Lot Number (type the number)

·                     Facility (drop-down list)

1.            From the LOT NUMBERS menu, point and click on the SEARCH (/ADD) option.  The “Lot Number Maintenance—Search(/Add)” window appears.

2.            Determine the type of search you want to perform and either point and click the DROP-DOWN ARROW(S) or type the Lot Number.  The fields and their descriptions are listed in the table.

FIELD

DESCRIPTION

Vaccine

Click the drop-down menu arrow to view/select a valid choice for the Vaccine name.  After selecting a choice, the checkbox will automatically check.

Manufacturer

Click the drop-down menu arrow to view/select a valid choice for the Manufacturer name.  After selecting a choice, the checkbox will automatically check.

Note:  Manufacturers are entered by the administrators via the Administration – Limit Manufacturer by Vaccine setting.

Lot Number

Type the Lot Number into the blank field.  After typing the lot number, the checkbox will automatically check.

Facility

Click the drop-down menu arrow to view/select a valid choice for the Facility name.  After selecting a choice, the checkbox will automatically check.

Note:  If a Facility Display (Abbreviated) Name was entered for the facility, it will appear in the list as opposed to the full name of the facility.

Inactive Status

Click the drop-down menu arrow to view/select a valid choice for the Lot Status.  Choices are:

·            All (both active and inactive)

·            Inactive (only)

·            Active (the default)

Inactive Reason

If the “Inactive” status is chosen, click the drop-down menu arrow to select the reason.  Choices are:

·            Cold Chain Failure

·            Recall

·            Other

Note:  If the reason of “other” is selected, the “Inactive Description” text box opens to type a “free-form” reason.

Inactive Description (if Other)

This is a “free-form” text box that is used to enter a description when the “Inactive Reason” contains “Other.”

Sort By

Click the drop-down menu arrow to view/select a valid choice for the sorting.  Examples of valid choices are:

·            Expiration Date

·            Facility Group, Facility

·            Facility

·            Manufacturer

·            Lot Number

 

3.            Click the SEARCH button (or the ENTER key).  The “Lot Number Maintenance Search Results” window appears similar to the one shown below.

Note:                  Vaccine (DTaP) and Facility (Test) was used to obtain this result.

4.            Point and click one of the available buttons:

·                    SELECT ARROW – to perform an EDIT on the chosen Lot.  Continue to the section titled, “Editing Lot Numbers;” or,

·                    BACK – to perform another SEARCH; repeat the previous steps; or,

·                    ADD – to ADD a new Lot Number.  Continue to the next section titled, “Adding Lot Numbers.”

5.            Continue to the appropriate section for detailed instructions.
